How to tell
I have looked at the fluid wiht the dipstick and it is an almost transparent grey and does not smell.Is this a good way to tell if it is time for a change?
Most atf of the right spec is red. To be honest mine was not burnt smelling or otherwise but it is prudent to do it if you are not sure of the last time it was changed. Peace of mind and all that jazz. You'll be amazed at the crud that comes out! Ifyou're slim like me you dont even need to jack it up! 

One more question
Once removed and replaced how do you fill it?

+ Very slowly I believe (is it worth warming the fluid first so it is less viscous and flows more freely). Just remind me, when you take the ATF pan off do you have to clean the mating face up and put a new gasket, or gasket sealant (which if so?) on it. How tight do the nuts have to be done up and do they need torquing?
you should find both gasket mating faces are spotless unless someones been there nefore and put crappy sticky gunk everywhere. You should find it all separates very nicely. ATF is not that viscous it goes in the dipstick hole pretty quick to be honest. Tight is tight enough for the bolts. They're only M6 iirc and they're into ally, I'll try and find a better torque measurement though. If you have the time I'd let it drain for a couple of hours after removing the filter assembly. Make sure you have more than enough ATF, I put approx 6.5 litres in mine, there are some notes around somewhere that say 4 - 4.5 litres, it's not enough!
